PeoplePower - Frequently Asked Questions
Is PeoplePower a multi-user
program?
Yes, you can set up any number
of users in PeoplePower. Individual users can be prevented from accessing
your donations and pledges and they can be set up into hierarchical groups that allow the selective sharing
of contacts and notes. If you have a local network
of computers, you can install PeoplePower on more than one computer so that
each can access you data if it is located in a shared folder; however, only
one computer will be able to access your data at a time. If you try to access
you data while another computer is already accessing it, you will get an
error message that the data file is already in use. You can install PeoplePower
on any number of computers in a single location for no extra cost. (please
review the license agreement).

Does PeoplePower
do accounting?
No, PeoplePower does not do
accounting. Quicken, QuickBooks and M.Y.O.B. are excellent and inexpensive
accounting programs that are successfully being used by not-for-profit organizations.
We have chosen to stick with organizational management functions and not
reinvent the accounting wheel.

How can I keep track
of special dates?
You can track any number of
special dates for people on the Organization tab of the People module. On
this tab is a section called Events. Click the plus-sign button to add a date
for an individual.

How can I create my
own reports?
PeoplePower allows you to create
custom, tabular reports on any of your data. The reports can be printed
or saved as text files for importing into your word processor or spreadsheet.
To create a custom report, choose Reports from the Special menu or click
on the Printer icon at the bottom of any of the module screens. When the
Report Chooser appears, click on the User Reports button at the bottom. Choose
what the report will be based on, the source of data for your report, and
then click on the Print button to open the Report editor screen. From there
you can drag the fields of interest into the report, choose fields to sort
by and create totals and subtotals.

How do I get
my labels to line up correctly?
PeoplePower has standard label
definitions for 1x3 labels and for business envelopes for People, Families
and Giving Units. The first time you print labels or envelopes, you may have
to make adjustments to account for you printer margins. To do so, click on
the Edit/New button on the Label Options screen. When the Label Editor appears,
click on the Load button to load the label format you wish to edit, then
click on the Layout tab to adjust the margins. Positive numbers will move
the labels away from the edge of the paper while negative numbers will move
the labels towards the edge of the paper.

How do I print
a return address when I print envelopes?
The standard label definitions
that come with PeoplePower assume that you will be printing on envelopes
with a preprinted return address. If you need to print your own return address
follow these steps.
- From the Label Options
screen, click on the Edit/New button. When the Label Editor appears, click
on the Load button to load the label format you wish to add a return address
to. After loading the existing definition, click the Save button and give
your new format a new name. (This name will show up in the list of labels/envelopes
the next time you go to print them.)
- Next, enter each line
of your return address separately in the Static Text box (below the list
of fields). Click the little arrow next to the Static Text box to move each
line of text to the label. Drag the items to wherever you want them and use
the formatting tool bar to align objects. You can also set the fonts, etc.
for the various objects. You can also paste in a picture of your return address
if you have special styles and/or graphics.
- Don't forget to save your
changes before you print your envelopes!

Where is PeoplePower
installed?
On Windows, the default installation
folder is
c:\Program Files\PeoplePower
v3.
On Macintosh, there is no default
location; when you installed the program you chose the location.

How do I back-up my
data?
You should always back-up your
data! This can be as simple as copying your data file to a disk, e.g., as
Zip disk or CD ROM. For a more comprehensive solution, you can also choose
to use any of the commercial back-up programs available to back up your
entire hard drive (recommended). Details on how to do this are provided with
the back-up software.
